Solution 1

This problem is more common than you might imagine. Staff turnover in an established hospital is usually the main culprit. Each doctor and staff member uses systems slightly differently, and over time clients get charged inconsistently or improperly.

  1. LunarVet staff gathered sales, item setup, and various audit reports from the pims, figured out which codes were still active and relevant, and analyzed all groups / bundled services.
  2. Next, we made recommendations about which codes could be inactivated, which bundles could be reconfigured, and what new canned estimates could be formed to properly and consistently prompt staff to select all relevant client charges.
  3. Finally, we logged into Cornerstone remotely after hospital business hours to implement all the desired changes, and created best practice documentation for reference and future staff training.

Solution 2

Knowing what to keep in stock is both an art and a science. The “art” part is intuitively knowing your clients and their unique needs. We can best help with the “science” part, using your historical data.

  1. LunarVet staff pulled sales history for all inventory items, including where items may be sold or used as part of a provided service.
  2. Next, we used this sales history to identify total volume and seasonal trends for your high demand products. For these items, we calculated reorder points and created shopping list templates to streamline purchasing without having to check the shelves. For all other items, we provided recommendations for limiting on-premise stock, and alternative solutions to fulfill client needs.
  3. Finally, we made sure that inventory items were properly linked up with invoice items to deplete quantities accurately, before embedding reorder points in the local pims to help staff only order what you need.

Solution 3

Client pricing is a tricky business, especially in an industry without much standardization or regulation in this area. We can help identify ways to consolidate costs and price your goods and services appropriately.

  1. LunarVet staff analyzed the hospital’s purchase order history and compared exact product costs with client pricing to calculate profit margins. We identified the most important services and estimated true costs based on doctor / tech time and average wages.
  2. Next, we used our industry knowledge and price benchmarking skills to make recommendations about goods and services that are likely underpriced or overpriced for the local market. We also used desired profit margin estimates to back into ideal pricing for key drugs and services, to ensure the hospital stays financially healthy.
  3. Finally, we implemented the price changes and adjusted pims permissions controls so the new prices would actually stick.

Solution 4

Most of us can relate to relying on a superstar to take care of things when we are busy. It’s much easier than taking the time to set up a repeatable and reliable process. We can help set up that structure as well as provide ongoing monitoring and support.

  1. LunarVet staff used data applications and data visualization tools expertise to reverse engineer the former manager’s dashboards and reporting from the Avimark source data. We also discovered some reporting the employee had been manually updating from offline information.
  2. Next, we wrote specific instructions any staff member could follow to collect and export the desired reports every month, including how to retrieve all information that would need to be added in manually from non-Avimark sources.
  3. Finally, we worked with the hospital owner to set her up with subscription-based support for LunarVet to continue refreshing monthly reporting until a new manager is hired.
